Idle account auto-pause

To keep your bill aligned with actual usage, Draco Learning LMS auto-pauses inactive accounts.

The 180-day rule

Every night, a system job checks for non-admin users whose last login (or, if they never logged in, account creation date) is older than 180 days. Those accounts are flipped to idle status. Idle seats stop billing immediately.

Warning emails

Before an account auto-pauses, the user receives two reminders:

  • Day 150 — "your account will pause in 30 days unless you sign in."
  • Day 170 — final reminder.

Reactivation

When an idle user signs in, their account automatically flips back to active. They land on the dashboard with a banner explaining that their facility is billed for that month per Rule B.

Managing idle accounts manually

Visit Oversight → Idle Users to see every account beyond your chosen window (90 / 180 / 270 / 365 days). You can activate accounts back to active manually, or delete them to free the email for future signups. Deletion is reversible by Draco support but the account becomes hidden from lists.
